Privacy choices at a glance

  • Parents control what they submit. Forms ask only for what is needed to respond to you.
  • Provide only what is necessary. Please do not include unnecessary sensitive information in general website forms.
  • You can ask us to access, correct or delete your information by emailing info@taoacademylearning.ca.
  • Marketing is separate and optional. It is only sent with your own separate consent.

Scope and accountability

This policy describes how TAO Academy Learning handles personal information collected through this website and in connection with our tutoring and enrichment services. TAO Academy Learning is responsible for the personal information it handles through the website and its services.

Information we collect

The information we collect depends on how you interact with us. It may include:

  • Parent or guardian names and contact details, and applicant names and contact details for career applications.
  • When voluntarily provided: a student's first name, grade, school subjects, learning needs or goals, and service preferences.
  • Contact messages sent through the Contact page.
  • Consultation and registration details submitted through the request forms, including consent records.
  • Career application information, including uploaded résumés and cover letters.
  • Scheduling details for consultations booked through our scheduling tool.
  • Limited technical and security information, such as IP address, timestamps, browser and device information, rate-limiting data and server logs.
  • Email delivery status information, such as whether a confirmation email was successfully delivered.

How we use information

We use personal information to:

  • Respond to enquiries and requests.
  • Assess a student's learning needs and recommend suitable support.
  • Provide and administer tutoring and enrichment services.
  • Arrange consultations and process registrations and job applications.
  • Communicate service messages, such as confirmations and responses about your request.
  • Prevent fraud and spam, and protect the security of our website and systems.
  • Secure and improve our operations.
  • Meet legal and regulatory obligations.
  • Establish, exercise or defend legal claims where necessary.

Children and students

TAO Academy Learning serves students in Grades 1–12. If the student is under 18, a parent or legal guardian should submit forms on the student's behalf. Please do not ask a child to submit a form independently.

We collect only the information that is reasonably necessary to provide and administer our services. Student information is used for education and service delivery, safety and administration. We do not sell student information, use it for behavioural advertising, or use it to train artificial intelligence models.

Please do not submit a student's surname, medical diagnoses, government identification, passwords, payment or banking details, or other unnecessary sensitive information through general website forms. If we ever need additional information, we will ask for it directly.

Service providers and disclosures

We use trusted service providers to help operate TAO Academy Learning. These providers process personal information only as needed to deliver their part of the service. They include:

Personal information may be processed or stored outside Canada and may be subject to the laws of those jurisdictions, including laws that permit access by governments, courts or law enforcement in those places.

We may also disclose personal information:

  • With your consent.
  • To professional advisers, such as lawyers or accountants, under duties of confidentiality.
  • In connection with a business transaction, such as a merger or sale, with appropriate safeguards.
  • Where required or permitted by law, or to protect the safety, security or legal rights of TAO Academy Learning, our students and families, or others.

We do not sell your information

TAO Academy Learning does not sell or rent personal information, and we do not use form submissions for targeted advertising.

Consent and communications

When you submit a form, the consent you give covers the request you are making and the service communications needed to respond to it — for example, a confirmation that your registration or consultation request was received.

Marketing emails are separate and optional. Where Canadian anti-spam law requires it, we send marketing emails only with your separate consent, and every marketing email will identify TAO Academy Learning, provide our contact details and include a way to unsubscribe.

You may withdraw consent at any time by contacting us. Withdrawing consent may limit the services we can provide where the information is necessary to deliver them.

How long we keep information

We keep personal information only as long as reasonably needed for the purposes described in this policy. Specifically:

  • Inquiry, consultation and registration records are reviewed for deletion after 24 months without an active service relationship.
  • Unsuccessful job applications are deleted after 12 months, unless the applicant agrees to a longer retention period.
  • Security and email delivery logs are kept according to operational needs.
  • Information may be kept longer where there is an active service relationship, a legal or accounting obligation, an ongoing dispute, or a safety concern.

When information is no longer needed, it is securely deleted or anonymized. Backups may retain information for a limited period before normal deletion cycles remove it.

How we protect information

We use reasonable administrative, technical and physical safeguards to protect personal information, including private storage, access controls, server-side processing of form submissions, encrypted transmission, rate limiting and restricted staff access.

No online system is risk-free. While we take safeguards seriously, we cannot guarantee that any online service is completely secure.

Your choices and rights

You may contact us at info@taoacademylearning.ca to:

  • Request access to the personal information we hold about you.
  • Request a correction to that information.
  • Request deletion of that information.
  • Withdraw consent for communications.
  • Ask how your information has been used or disclosed.
  • Make a complaint about our privacy practices.

We may take reasonable steps to verify your identity before responding. In some cases, the law permits or requires us to retain certain information even when a deletion request is made.

Cookies and third-party tools

This website uses limited technical storage that is necessary for the website to function and to help protect it from spam and abuse. Embedded or linked tools, such as the scheduling tool used on the consultation booking page, may use their own cookies under their own policies. We do not use advertising cookies on this website.

Security incidents

If we become aware of a suspected breach of security safeguards, we will investigate it. Where the law requires it, we will notify affected individuals and the appropriate regulators.

Changes to this policy

We may update this policy from time to time. Material updates will be posted on this page and the effective date above will change. Where an update requires it, we will seek additional consent before the change applies.
